Permission to Teach, Assist, Help & Club Roles

Welcome our permissions page for Lancashire Aikikai Instructors, Assistants and Helpers and those carrying out roles in the Lancashire Aikikai Clubs. This page will be fully implemented in late June 2010 and populated then.

The Aikikai believes all its Instructors should hold Governing Body coaching awards, be First Aid qualified, hold current instructors insurance, be CRB checked in accordance with our Child Protection policy and be authorised to take classes by our Head of Association. Those fulfilling these requirements are:-

Those given permission to be Assistant instructors hold Governing Body coaching award, hold current instructor's insurance as 'Assist only', be CRB checked in accordance with our Child Protection policy and be authorised to take assist by our Head of Association. This permission does not give extend to taking a class unsupervised. Those fulfilling these requirements are:-

Process

For anyone to teach, assist on the mat - formal permission is needed, this is part of our recruitment process, before stepping onto the mat in these roles. (This is not needed for visiting instructors that our Head of Association is aware of)

The additional steps/requirements to coach, "assist only" instructors and be a Club Leader are detailed on our Pathway page are additional to the process described below.

The recruitment or permission process is required by Independent Safeguarding Authority the Lancashire Aikikai considers our Permission process fulfils this

1. A CRB check is needed as the first step via our Child Protection Officer. (Other CRB checks do not count) Contact your Club's Welfare Officer to start this. Form 4 (zipped file) View should be completed as well to be sent off with your CRB application to our Child Protection Officer.

2. On receipt of your CRB results apply to your Club Leader on what is know as Form 1 (zipped file) View from our Child Protection page which includes Guidance notes on completion. The Form and Guidance note covers the procedure in detail.

Complete sections 1, 2 and 5 of Form 1. Once these sections have been completed the applicant passes the form to their Club Leader with their Criminal Records Bureau disclosure report. But if you are applying for a role which involves you on the mat then you need to gather certificates to accompany your application described in section 3 where appropriate.

3. The Club Leader checks the certificates provided and writes on the form in section 3 details of the certificates that have been presented to him. The Club Leader also copies these which should be retained as part of a possible verification procedure should the need arise. The original certificates can then be returned to the applicant except the CRB disclosure report.

4. The Club Leader's sends Form 1 and the CRB check report to the Lancashire Aikikai Child Protection Officer for section 4 to be completed. If the application is being made by the Club Leader, then all their certificates need to be sent as well.

5. Our Child Protection Officer reviews all applications against the original CRB report and considers signing it off unless there are reasons against this. To enable this signing off Form 4 needs to be held this should have been submitted at Step 1.

In respect of the Child Protection Officer not being able to sign this section then they will alert the Principal of the Association and the Club Leader.

6. Assuming that section 4 can be signed the Child Protection Officer returns the Criminal Records Bureau report directly to the applicant whilst at the same time forwarding Form 1 to the Principal of the Association to consider granting permission in line with the application.

7. Permission will be granted as the Head of Association sees fit to explain its extent and any restrictions. Form 5 (example) is used for this and is varied to fit the application and consent

Assuming that the permission is granted the Principal will retain Form 1 and will issue an appropriate permission in Form 5 format directly to the Club Leader for them to pass on to the applicant. At the same time the Principal will arrange for details of this permission to be published on the Aikikai website – in the interests of openness and transparency.
