New proposals suggest simpifying the way the Aikikai
collects the insurance money. This is described below. Forms are downloadable
together with IT support.
Lancashire Aikikai Proposal
To Simplify the BAB Renewal Administration
and Payment System
This year the BAB has changed the system for collecting fees from the
Associations. Previously, Associations paid a £100 fee to the BAB
in March each year plus £3.75 per member, on the anniversary of
their membership. This £3.75 included a £1.33 insurance premium.
As from this year, Associations pay a total single fee in March, which
is banded (similar to the Council Community Charge) and is levied according
to the previous year's membership numbers. The insurance premium of £1.33
will continue to be paid on the anniversary of individual membership.
In order to keep things simple this year the L A collected the £3.75
from members in Jan 02, as normal.
Proposal for 2003
In order to improve the efficiency of the Association and individual Club's
administration, it is proposed to simplify the payment system by setting
a single LA Membership Fee in January each year, which combines the Aikikai
fee with the BAB renewal premium. The Association would hold the small
premium payment until the appropriate date for each member and will then
release this to the BAB.
A LA Membership Fee Reminder Form will be issued to all Association members,
by the individual Clubs, in early January each year. This Form will replace
the current BAB Reminder Slip. Members will return the completed Form
to the Club Official, with :-
· updated personal details and health
information
· payment
· membership book
The Club Official will then:-
· Stamp and return the record book to
the member
· Update the Club records with personal/health information, in
accordance with the Association Data Protection Policy
· Send Fees and a list of paid-up members to Mike Lloyd
Mike will then, each month, check the BAB renewal records and provided
the member is paid-up he will send of the premium to the BAB and issue
the member with the "Brown" Insurance Slip as normal, via the
Club Official.
Members should not notice any difference except
they will receive a single annual reminder Form in January rather just
before their insurance renewal date.
The Club and Association Officials should see a significant improvement,
as reminder Forms will be issued and money collected once in January rather
than being spread throughout the year (BAB) as well as in January for
(LA).
The responsibility for ensuring individual member insurance is up to date
still rests primarily with the Member. However, Club Officials should
"apply pressure" (harmoniously of course) to ensure forms are
collected and fees paid ASAP during January. The aim is for all fees to
be collected by the end of January. The Association will forward fund
BAB insurance renewals which become due during January. New beginners
will be treated as before. i.e. A beginner will pay £3,75 (Sen)
/ £3.00 (Jun) on their 1 st practice and will pay £12 (or
prorata) on there 4 th week. All members will pay the new combined membership
fee in January.
