Permission to Teach -

(Taking unsupervised classes)

Welcome our permissions page for Lancashire Aikikai Instructors who are authorised to take classes without supervision.

The Aikikai believes all such Instructors should hold a Governing Body coaching award, be a Dan Grade in Aikido, be First Aid qualified, hold appropriate insurance, be CRB checked in accordance with Child Protection policy (See below #) and be authorised to take classes by our Head of Association.

# Following publications of new guidance and policy by the BAB and clarification that checks to be made are considered proportionate to risk the Aikikai focus on the criteria of "regular supervisory contact". Accordingly from November 2011 a CRB check is not needed for Coaches, who teach at their club which only takes students over 18 years of age - provided they don't teach regularly at other clubs.

Assistants / "Assist only" Instructors These are Dan Grades in Aikido; who hold the Governing Body coaching award & hold appropriate insurance are allowed to take directions within a class of the supervising. This is explained in more detail on a further page contrasting both roles. They are not permitted to take classes unsupervised.

Helpers Those given permission to be Helpers are CRB checked in accordance with our previous Child Protection policy and fulfilling previous requirements of the Aikikai are:-

Process

For anyone to teach unsupervised on the mat - formal permission is needed, this is part of our recruitment process, before stepping onto the mat. (This is not needed for visiting instructors that our Head of Association is aware of)

The General Process

The recruitment or permission process was to have been required by Independent Safeguarding Authority but that stalled. The Lancashire Aikikai considers our Permission process should be retained as best practise and control so it is aware of who teaches in its name.

Job descriptions have been published so that any role & its responsibilities are understood.

1. A CRB check is needed as the first step via our Child Protection Officer. (Other CRB checks do not count) Contact your Club's Welfare Officer to start this. {But this is not required if your Club only accepts those who are 18yrs old and above - in which case skip this first step and go to step 3.

2. On receipt of your CRB disclosure results you can now complete Form P-1 and also step 3 below

3. You should apply to your Club Leader on what is know as Form P-2 which includes Guidance notes on completion. The Form and Guidance note covers the procedure in detail.

Complete sections 1 and 5 of Form 1. Once these sections have been completed the applicant passes the form to their Club Leader with their Criminal Records Bureau disclosure report.* You need to gather certificates as well, to accompany your application covered in section 2 on Form 1.
(* The CPO from time to time, at her discretion, may process without sight of the disclosure form and rely instead on the BAB reporting mechanism - but note this introduces a delay)

Understand the extent and responsibility of your role through the job descriptions.

4. The Club Leader checks the certificates provided and writes on the form in section 2 details of the certificates that have been presented to him. The Club Leader also copies these which should be retained as part of a possible verification procedure should the need arise. The original certificates can then be returned to the applicant except the CRB disclosure report.

5. The Club Leader's sends Form P-2 and if applicable the CRB disclosure report & Form P-1 to the Lancashire Aikikai Child Protection Officer for section 3 to be completed. If the application is being made by the Club Leader, then all their certificates need to be sent as well.

If the CRB Check was not needed then its just Form P-2 that the Club Leaders sends to the Principal of the Association who will follow Step 7

6. Our Child Protection Officer reviews all applications against the original CRB report ** and considers signing it off unless there are reasons against this. To enable this signing off Form 4 needs to be held by the Aikikai this should have been submitted at Step 1.
(** CPO's discretion to rely on the BAB's report as an alternative but note this then delays matters)

In respect of the Child Protection Officer not being able to sign this section then they will alert the Principal of the Association and the Club Leader.

7. Assuming that section 3 can be signed the Child Protection Officer returns the Criminal Records Bureau report directly to the applicant whilst at the same time forwarding Form P-1 to the Principal of the Association to consider granting permission in line with the application.

8. Permission will be granted as the Head of Association sees fit to explain its extent and any restrictions. The form is varied to fit the application and consent.

Assuming that the permission is granted the Principal will retain P-2 and will issue an appropriate permission on form P-3 format directly to the Club Leader for them to pass on to the applicant. At the same time the Principal will arrange for details of this permission to be published on the Aikikai website – in the interests of openness and transparency.
